Privacy Policy
1. Who we are, and what this covers
Apollo Future Labs is a contract manufacturer of dietary supplements and related consumable products, based in Livermore, California. We sell to businesses: brands, startups, clinics, and operators who need a manufacturing partner.
This policy explains what information our website collects, why we collect it, who we share it with, and how to ask us to change or delete it. It covers our main site at www.apollofuturelabs.com and the quote request form on it.
It does not cover information you give us under a signed agreement. If you have an NDA, quality agreement, purchase order, or written scope with us, that document governs how we handle the information covered by it.
We are a business-to-business company, but the people who contact us are still people. When you fill in our quote form you give us your name, your work email, and sometimes your phone number. This policy treats that as personal information, because it is.
2. What we collect
Our website has one form that sends information to us: the quote request. When you use the quote request, we collect what you type into it. That includes:
- Your contact details: first and last name, work email address, phone number if you provide one.
- Your company: company name.
- Your project: the details of the project you are asking us to quote. What you type into the form's project fields, and anything you add later in the optional project brief on your confirmation page. Project details only: we do not ask for anyone else's name, we accept no file uploads, and we ask for no health or clinical information about a person.
- Your consent choices: whether you agreed to this policy, agreed to be contacted about your project, and opted in to marketing email, together with the version of this policy in effect when you submitted.
Not every field is required.
Nothing reaches us until you press send. If you use the form's save-draft button, your answers are kept in your own browser on your own device and are still not sent to us; the Cookie Notice covers that storage in full. We keep no record of a form you started and abandoned.
Everything above comes from you, or from your browser as it requests a page. We do not buy personal information, and we do not obtain it from data brokers or list vendors.
What we record automatically when you load a page:
- Page and request data: the pages you visit, the page that referred you, the page you landed on, and your browser and device type (user agent).
- Your IP address. Serving you a web page requires it, so our hosting provider receives your IP address on every request, to route the response and to block abuse. When we save an inquiry to our own records, we store a hashed form of the address rather than the address itself.
- Attribution parameters: if you arrive from a link carrying campaign or click parameters (for example utm_source, utm_campaign, or an advertising click identifier such as gclid or fbclid), we may record them with your inquiry so we know where it came from.
- Security and abuse-prevention data: our hosting and bot-protection providers process request data to keep the site available and to stop automated abuse of the quote form.
- Aggregate page counts. Cookieless, and described in section 5.
We do not ask for, and you should not send us through the website, government identification numbers, payment card numbers, precise geolocation, health information about an individual, or account passwords.
If a new category of information starts being collected, or if we start using information we already hold for a purpose that is incompatible with the one we told you about, you get a new notice before that starts.
3. Why we collect it
We use the information above to:
- reply to your inquiry and understand whether your project is a fit,
- prepare quotes, scopes, and documents,
- contact you about your project,
- keep business and quality records we are required or expected to keep,
- understand which pages help buyers and which ones do not, and fix the ones that do not,
- keep the site secure and stop abuse of our forms,
- send you marketing email if, and only if, you asked for it,
- meet our legal obligations and enforce our agreements.
We do not build advertising profiles about you, and we do not make automated decisions about you.
4. Sending the form, and how we may reach out
The form will not send until you confirm two things, and it offers a third that is optional.
- You have read this policy and agree to the Quote/RFQ Terms, and Apollo may process what is in your request in order to review it and respond to your project.
- Apollo may contact you about your request by email or phone.
- Optional: Apollo may also send you occasional manufacturing insights by email.
Contacting you about your request means a person replying about your project: a question, a fit review, a quote. It does not mean marketing email, which we send only if you ticked the third box and which you can stop at any time without affecting your project.
We send marketing email only to people who opted in. Every marketing message we send includes a way to unsubscribe and our postal address, 30 Lindbergh Ave, Livermore, CA 94551. Unsubscribing is honored promptly.
7. Confidential project information
Formulas, ingredient details, supplier names, costs, margins, quote packets, and our internal quality and manufacturing notes are confidential project information. We use them to evaluate and perform the work you asked us to do. They stay out of analytics, out of ad platforms, and out of anything that leaves our systems for a purpose you did not ask for.
8. How long we keep information
We keep information for as long as we have a reason to, and no longer.
Business, manufacturing, and financial records are kept on a documented retention schedule. Each class of record is kept for its own legal minimum plus one year.
Personal information is the deliberate exception: it gets no added year. Records are kept only as long as the purpose we disclosed requires and are then deleted on schedule.
Contacts who ask to be deleted are removed and suppressed, except for records we are legally required to retain.
Aggregate page counts are kept by our analytics provider for a limited period and then deleted. They are totals rather than records of you, so there is nothing in them to delete on request.
9. Your requests: access, correction, and deletion
You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. We honor these requests as a matter of practice.
How to ask. Email privacy@apollofuturelabs.com. What happens next:
- We verify it is you. We confirm the request through the email address the information is attached to. We will not act on an unverified request, because acting on one would let a stranger delete your records.
- We answer within 45 days of a verified request.
- We tell you exactly what we did. If we can honor a request in full, we do. Sometimes we cannot: law, regulation, or a contract with you may require us to keep certain records. In that case we honor the request in part and say so plainly: what we deleted, what we retained, and why.
- Deletion means deletion, and it sticks. When we delete your contact information we also add you to a suppression list.
- We charge nothing and we will not treat you differently for asking.
10. Security
We use administrative, technical, and organizational safeguards appropriate to the information we hold: access controls and encryption in transit. No system connected to the internet can be guaranteed secure, and email in particular is not a secure channel. Please do not email us formulas or other confidential material before we have an agreement in place.
11. Children
This site is for business use. It is not directed to children, and we do not knowingly collect personal information from anyone under 18.
12. Changes, and how to reach us
If we change this policy, we will post the revised version on this page with a new effective date and a new policy version. If a change materially affects how we use information you already gave us, we will make that clear at the top of the page. Continuing to use the site after a change means the current version applies.
We review this policy at least once every 12 months, whether or not anything has changed.
