How to Prepare for a Manufacturing Quote
What a contract manufacturer actually needs to quote your supplement: five decisions, not a stack of documents. Plus a Quote Readiness Checklist.
The short answer: decisions, not documents
A contract manufacturer does not need your formula, your artwork, or a folder of documents to quote your supplement. It needs five decisions: where the product stands, the format, the run size, the timeline, and the channel. Those five settle fit: whether we’re the right shop for the work and roughly what the work is. Everything else waits, and each waiting piece gets requested at the point in the process where it actually matters.
Most RFQ templates start the other way around. They hand you a document list (send the full formula, the specs, the label files, the testing history) and tell you to assemble all of it before you talk to anyone. That front-loads work you don’t need yet, and it’s backwards from how the people on the receiving end actually read a request.
We’re on that receiving end. This is what the fit-review team looks at first, what it holds until later, and why. If you know the five decisions, you can request a quote today. Putting the request together takes about 8–10 minutes, and the fit review typically comes back in 1–2 business days.

The five decisions a manufacturer needs to quote fit
You already know all five. None of them requires a document.

Where the product stands. An idea, a formula you own, or a running SKU you’re moving. This is the biggest single input, because it decides which team picks the project up: R&D for an idea, a spec-and-scale for a formula you hold, a transfer for a product already in market.

The format. Liquid, functional shot, capsule, gummy, powder. Format decides the line, the fill method, and the whole component set. A 2 oz shot and a 16 oz liquid are different machines, different closures, and different fill behavior, before a single ingredient is named.

The run size. Roughly how many finished units for the first run, and roughly how many a year. This decides whether you’re looking at a pilot or a production run, and it’s the number that component minimums land against. A rough figure is fine; we’re sizing the conversation, not locking an order.

The timeline. When you need finished goods in hand, and what’s driving that date: a launch, a promo, a stockout, a second-source you’re standing up. The date behind the date matters more than the date itself, because it tells us how much room there is to be honest with you about what’s realistic.

The channel. Where it sells: direct-to-consumer, Amazon, retail, practitioner. Channel sets the testing scope, the packout, and the documentation load. An Amazon listing and a practitioner line ask for different things from the same bottle.

Five decisions in, we can tell you whether we’re a fit and give you a real quote to work from. That’s the point of keeping the front of the process light: the friction that stops most people from getting quotes isn’t the manufacturing, it’s the homework they think they have to do first.
What can wait, and exactly when we ask for it
The documents are real. They’re just not a quoting input; they’re a production input, and each one has a natural moment in the process when it’s needed. Naming that moment is the part no template does, so here it is.

Two things follow from this table.
First, you never have to send a proprietary formula to open a conversation. If a shop asks for your full recipe before it has even told you it’s a fit, that’s worth a pause. There’s no reason to hold it that early, and every reason not to hand it out.
Second, the sequence protects you as much as it protects the schedule. A CoA on a material you’re supplying only means something once we’ve done a receiving and compatibility review against the actual run, so we ask for it then, when it’s checked against reality, not filed away six weeks early. Artwork gets requested once the bottle and closure are locked, so you’re not redrawing a dieline because the component changed. The order isn’t bureaucracy. It’s the order that keeps you from doing work twice.
Protecting your formula during the RFQ
If the product is yours, the formula is the asset. Requesting a quote shouldn’t put it at risk.
Our handling is NDA-first for formulas and sensitive projects. Proprietary detail waits until fit is confirmed, and when it moves, it moves through a secure portal, not an email thread, not an attachment sitting in an inbox. At the quote stage we work from the effect you’re after and a rough ingredient picture, which is enough to price fit without exposing the recipe.
We won’t promise absolute secrecy, because no one honest can. What we can say is that the sequence is built to keep your IP out of the open until there’s a real reason to share it, and that the reason is always “we’re moving forward together,” never “we need it to reply.”
If ownership itself is the open question (and in private-label relationships it often is), settle that before you share anything. In many private-label arrangements the recipe stays with the original manufacturer, which means you may be licensing a formula you thought you owned. Ask the ownership question first. It changes what you can move, and to whom.
Why the same product quotes differently, and how to compare fairly
Send the same spec to several manufacturers and the quotes can come back far apart. That spread is real, and it’s not evidence that someone is gouging you or that someone else is cutting corners. Most of the time it’s the same underlying work, itemized differently, and once you can read the itemization, the comparison gets simple.
Here’s what actually moves a quote:

The material path. Components that are on-hand stock carry no supplier minimum standing between you and a run. Custom components (a specific bottle, a custom label, a molded closure) carry their own supplier minimums, and someone has to pay to hit them. Two quotes can differ by thousands of units of “minimum” purely because one shop stocks the bottle and the other has to source it. The full breakdown of how that math works lives in the component-minimum math; the short version is that your minimum is usually two numbers, not one.

The fill method. The formula’s behavior (how viscous it is, whether it foams, whether it carries particulates) decides whether it runs on an automated line or gets hand-filled. That decision sets the line speed, which sets the labor, which sets a real chunk of the per-unit cost. A quote can move a lot on a fill decision you never see stated.

Run size and setup. Setup and changeover are largely fixed, so they spread thinner over a bigger run. The same product costs more per unit at a pilot size than at a production size, not because the shop is punishing small runs, but because the setup is the setup either way.

What’s bundled versus itemized. This is the big one. A single clean per-unit number can quietly fold in a component minimum, a testing charge, and a setup fee. Another shop breaks those out and looks more expensive at a glance while charging you less in total. A manufacturer quoting you thousands of units of minimum is sometimes just passing through a label printer’s minimum without naming it.
So compare line items, not totals. Ask every shop to break the quote into the same categories, and put those categories side by side. A headline number tells you almost nothing; the itemization tells you everything.
What a precise quote itemizes separately
A quote you can actually read separates the work into lines that each move for their own reason. Here’s how ours is built, and what drives each line.

A few of these deserve a plain word.
Testing and the CoA are their own line, spec’d and quoted and charged separately, never buried inside the unit price. That’s deliberate. Testing is coordinated through vetted independent third-party labs, the panels depend on your channel, and the cost tracks the number of lots, not the number of units. Freight is billed separately, always, because it depends on where things are going and how, not on the product.
Component minimums are their own line for the reason in the section above: they’re a supplier reality, and you deserve to see them as a distinct number so you know exactly what you’re committing to and why. When components are custom, the excess you buy to hit a supplier minimum stays yours, and it’s not waste. It’s pre-positioned inventory for your next run. The Quote Readiness Checklist
You can request a quote right now with nothing but the five decisions. This checklist just makes the conversation faster and the first quote sharper. Gather what’s handy, skip the rest; putting the request together takes about 8–10 minutes either way.
Bring to the request (you already know these):
- Where the product stands: an idea, your formula, or a running SKU

- Target date for finished goods, and what’s driving it

After you send it: what fit review is, and when you’ll hear back
Sending the request starts a fit review, not an order, and not a commitment on either side. A quote request creates a review; no price, minimum, timeline, or acceptance is locked by sending it.
What the fit-review team actually reads:
- Line and format fit: is this something our lines run well, and is it a good use of the equipment.
- The component path: on-hand stock, custom-sourced, or materials you’re supplying, and what each implies for minimums and lead time.
- Compliance and testing load: what your channel requires and whether the documentation is straightforward or heavy.
- Timeline risk: whether your date is realistic before you plan around it.
You’ll typically hear back in 1–2 business days. Sometimes the honest answer is a fast no: “this isn’t the right shop for that.” A no in days is a service. It saves you the weeks you’d otherwise spend waiting on a maybe, and it means when we do say yes, we mean it.
When we’re a fit and you’ve given us a run size, the next step is usually a pilot. With compatible materials on hand, a first pilot run often starts in the hundreds of units, small enough to prove the product without committing to a full production run. Where components are custom, supplier minimums enter the math, which is the two-numbers problem the component-minimum math breaks down. Look for an FDA-registered facility running cGMP-compliant operations, with per-lot testing through independent third-party labs. Ask which marks matter for your channel: a product-verification mark, a facility audit, or a retailer’s own programme. Verify the system and the documents, not the badges. No supplement is “FDA-approved.”
Can I private-label an existing formula?
Often, yes. But confirm who owns the formula first. In many private-label relationships the recipe stays with the original manufacturer, so you may be licensing it, not owning it. If the IP is yours, we run a spec review and scale it. Ask the ownership question before you commit.
How do I compare quotes from different manufacturers?
Compare line items, not totals. Ask each shop to itemize production, testing and CoA, freight, component minimums, and setup separately. A low headline number can bundle a component minimum you are still paying for. Matching itemization is what makes the comparison apples-to-apples.
